[New Feature] Quote Statuses: See Which Quotes Are Won, Lost, and Still Waiting
When you’re quoting jobs multiple times a week, it’s easy to lose track of them all. A couple weeks later you’re staring at your list of quotes trying to remember: did that customer ever come back to me? Have I chased it? Is it dead, or is it still worth a nudge?
That’s exactly what quote statuses in Gas Engineer Software are built to fix. Every quote now carries a status that gives you a clear overview of your work.

What’s new?
Each quote you create now has a status attached to it. Once issued, it’s set to Pending. This means it’s out with the customer, and you’re waiting to hear back. From there, it can move to:
- Accepted — the customer’s said yes and you’ve won the work
- Declined — they’ve decided not to go ahead with the quote
- Cancelled — the quote’s no longer relevant (the job changed, the customer pulled out, or you’re replacing it with a new one)
- Expired — the quote has passed its expiry date without being accepted
On the web portal, the status shows on the quote itself, and you can filter your whole quotes list by it. So instead of scrolling through everything you’ve ever sent, you can pull up just your Pending quotes in a couple of clicks and see exactly what’s still in play.
How this changes your workflow
Before, tracking quotes was more complex and was easily confused with the job status itself.
Now, job statuses and quote statuses are two distinct parts of GES, and changing a quote status takes just a few seconds.
This also means that instead of looking through each quote individually, you can quickly filter based on status. For example, filter to Pending and you’ve got a live list of everyone you’re still waiting on.
It also gives you something you didn’t really have before: a feel for your win rate. If you’re sending plenty of quotes but a lot are sitting Declined or Expired, that could be insightful information.
How to use it
- Head to your Quotes list on the web portal.
- Every quote shows its current status. Once a quote is issued, it’s Pending by default.
- Open an issued quote and choose Accept, Decline, or Cancel as you hear back from the customer.
- Use the Quote Status filter above the list to view your quotes by status — start with Pending to see what still needs chasing.
A few things worth knowing:
- New quotes always start as Pending, so anything you haven’t actioned is treated as still open.
- Accept a quote and GES asks if you’d like to convert it to an invoice there and then — or you can do it later whenever you’re ready.
- Statuses work hand in hand with your quote reminders and follow-ups. Pending quotes are the ones to nudge; a quote that’s already Accepted doesn’t need chasing. You can set up automated reminders or send a one-off follow-up whenever you like — here’s how.
