[Update] Recording the Landlord on Gas Safety Certificates
We’ve added a small but genuinely useful update to Gas Engineer Software: you can now record a landlord’s name against a property, and it carries straight through to the Landlord Gas Safety Record.
If you do any work for landlords or letting agents, this one change makes it easier to stay compliant.

The problem it solves
On a lot of rental jobs there are three parties involved, not one:
- (in many cases) a letting agent, who books you and pays the invoice (your customer)
- the tenant, who lives in the property
- the landlord, who owns it
Until now, the certificate really only had room for the customer and the person at the property. The landlord (the one name that’s increasingly expected to be on the record) had nowhere obvious to go.
If you look after certificates for an agent with a big portfolio, they’ll want this information on there to guarantee the certificate meets the necessary standards in case of any legal disputes (such as evictions). More info below:
Why the landlord’s name matters on the certificate
Under the Gas Safety (Installation and Use) Regulations 1998, a landlord gas safety record is meant to include the name and address of the landlord (or their agent), not only the tenant or the property.
It matters more than it used to because of how these certificates are being used in court. When a landlord tries to regain possession of a property, the gas safety record is one of the documents that gets checked line by line. There have been cases where a single blank field (including a missing landlord name) was enough to set back the process.
None of this is directly the concern of a heating & plumbing business, but a complete, correct certificate protects your customer. It also marks you out as someone who knows the paperwork inside out.
How it works in Gas Engineer Software
We’ve kept it simple. Your job addresses now have a new “Landlord” field under “Job Address Details”.
This means you can have a tenant, landlord, and letting agent all named on one single certificate.
When you add the landlord on the job address, it’s saved and will auto-fill on every new certificate (including invoices) you create for that address.
The short version
Certificates are getting more scrutiny, and the landlord’s name is part of getting them right. Gas Engineer Software now makes recording it a one-time job per property that then looks after itself. It’s a small change, but if landlord work is your bread and butter, it’s one less thing to get wrong.
