Gas Certificate App vs Paper Pads: Why More Engineers Are Going Digital

by | Mar 20, 2026

Triplicate pads, smudged carbons, landlords chasing you for copies you haven’t had time to post — paper certificates get the job done, but they create a lot of extra work around the edges.

A growing number of engineers are switching to a gas certificate app instead. This post compares the two side by side — what a typical day actually looks like on paper vs digital — and walks through how the switch works in practice.

Create all your gas certificates with Gas Engineer Software.

Five certificates in a day — paper vs app

Forget the theory. Here’s what a busy work day actually looks like for a sole trader doing several gas safety certificates, comparing the paper pad with doing it digitally.

Filling in the certificate

With a triplicate pad, you’re writing out the same appliance details, address, and readings for every job by hand. Press too lightly on the carbon, or smudge the ink — and the certificate becomes hard to read. That’s easily ten minutes per certificate just on paperwork.

With an app, your customer details are already saved. Tap the address, enter your readings, and the certificate builds itself around you. Aside from any testing, engineers can complete a digital gas certificate in under three minutes.

Completing a gas safety certificate
📄 Paper 📱 Digital
1. Write customer name, address, appliance details by hand 1. Tap saved customer — details auto-filled
2. Fill in readings and tick boxes on triplicate pad 2. Enter readings — app structures the certificate
3. Check carbon copies came through cleanly 3. Preview the finished PDF on screen
4. ~10 minutes per certificate 4. ~3 minutes per certificate

Getting copies to landlords

Here’s where paper really slows you down. The landlord needs a copy, but you’re on site all day. So the carbon copy sits in your van until you can post it, photograph it, or drive it over. Some landlords chase you for days.

With a gas certificate app, the landlord gets a professional PDF the moment you tap “send” — before you’ve even left the property. No chasing, no posting, no “I’ll sort it tonight.”

“It’s all instant and sent directly to the customer. You’ve not got to worry about keeping or losing paper copies.”

Keeping your records straight

Five certificates on paper means five loose sheets that need filing when you get home. Multiply that across a week, a month, a year — and you’ve got a box under the stairs that you’re praying Gas Safe never asks to see.

Digitally, every certificate is stored and searchable the moment you complete it. Need to pull up a CP12 from three years ago? It’s a ten-second search, not a twenty-minute dig through ring binders.

End of the day

By 5pm, the engineer on paper still has admin to do: filing certificates, sending copies, logging jobs. The one using an app? Everything’s done. Certificates sent, records saved, customer details updated — all while still on site.

Over five certificates, you’re easily saving an hour. Over a week, that’s a full afternoon back.

End-of-day admin
📄 Paper 📱 Digital
1. Drive home with a stack of loose certificates 1. Everything already sent and saved
2. File paper copies, photograph for backup 2. Records searchable instantly in the app
3. Post or email copies to landlords 3. Landlords already have their PDFs
4. 30–60 minutes of evening admin 4. 0 minutes — done on site

What about when there’s no signal?

It’s a fair question — and the one most engineers ask first. Plenty of basements and plant rooms are mobile dead zones.

A decent gas certificate app lets you complete certificates offline and syncs everything once you’re back in range. You don’t need to stand in the customer’s garden waving your phone at the sky. Fill it in on site, and it sorts itself out.

Making the switch isn’t as big as you think

Most engineers expect the switch to take weeks. It doesn’t.

We surveyed engineers who moved from paper to Gas Engineer Software:

  • 72% were using paper pads before they switched.
  • Of those, 68% had fully adapted within the first week, and 92% within a month.

The first day is the steepest part. You download the app, add your company details, and set up your certificate templates. That’s about fifteen minutes. From there, every certificate you complete is faster than the one before — because the app remembers your customers, your appliance types, and your common setups.

By day two or three, most engineers say it already feels quicker than paper. By the end of the first week, the triplicate pad stays in the glovebox untouched.

“Who doesn’t have that phone charging in the van? You’ve always got access to the app. The information is there. I would never go back to it. I don’t think I’d work for a company that use paper. It’s making your life harder than it needs to be for absolutely no reason.”

Common questions about switching

What happens to my existing paper certificates?

They’re still valid — nothing changes for work you’ve already done. Most engineers keep their paper records filed as they are and start fresh digitally going forward. You don’t need to backdate anything.

Can I bring my customer list across?

Yes. Gas Engineer Software lets you import your existing customers so you’re not typing everything in from scratch. If you’ve got a spreadsheet or even just a list, you can get your whole database into the app before you do your first digital certificate.

Do I need a specific phone or tablet?

GES works on iPhone and Android, and you don’t need the latest model. If your phone can run WhatsApp, it can run a gas certificate app. Most engineers use whatever phone they’ve already got.

How much do gas certificate apps cost?

Most apps charge a monthly subscription per user. Gas Engineer Software starts from £18 per user per month on an annual plan, with higher tiers at £23 (Core) and £30 (Pro with accounting integrations).

What certificates can I create with a gas certificate app?

Most UK gas certificate apps cover CP12 landlord gas safety certificates and boiler service records as standard. Gas Engineer Software also covers gas tightness test records, oil records and certificates, job sheets. Check the full certificate list for any app you’re considering if you do oil work or heat pump installs alongside standard gas jobs.

What if I’m not great with technology?

You don’t need to be. If you can send a text and take a photo, you’ve got the skills. The app is designed for engineers on site, not IT professionals — big buttons, simple screens, no fiddling around. And if you do get stuck, there’s support to help you through it.
