How to fill in this Gas Warning Notice PDF

Our digital Gas Warning Notice template has all the same fields you will find on a paper pad. The only difference is that rather than having to hand write them, you do it all on your phone or tablet.

Step #1: Download the PDF, and save it somewhere safe on your computer. For each new customer, we recommend making a copy of this file first.

Step #2: With the template copy, open it in a PDF reader such as Adobe Acrobat, Adobe Reader, Apple Preview, or equivalent on your phone.

Step #3: Fill out all the basic details including that of your company, your customer, and the site.

Step #4: Following this, there is a table where you can include up to 4 different gas appliances and note down areas of concern, including:

    • Gas escapes
    • Meter issues
    • Pipework issues
    • Chimney/flue
    • Ventilation
    • Or anything else you would like to specify.

Step #5: Add details of the fault, any action taken, and any action required.

Step #6: Add your signatures and date the form.

Step #7: Export the file and save it with an appropriate name, for easy organisation. This is an important step, as it will “bake” information in so it can’t be edited.

Step #8: Send the file to your customer, office staff, and anyone else that needs a copy

What is a Gas Warning Notice?

Create custom forms for your team

When inspecting gas appliances (for example in annual homeowners or landlords gas safety checks), engineers need to deem them either safe or unsafe for use. If a problem is spotted, the engineer will either fix it on the spot, recommend stopping use until it has been repaired, or disconnect it from the gas supply.

Those that cannot be fixed on the spot will be issued with a Gas Warning Notice, such as the template on this page, as well as a label affixed to the appliance. The Gas Warning Notice will include the details of the appliance(s), the defects, and provide it with a classification.

There are three different classifications depending on the fault detected:

    • Immediately Dangerous (ID): This means that the appliance should under no circumstances be used, has been disconnected from the gas supply, and labelled “DANGER DO NOT USE”.
    • At Risk (AR) – Turned off: If an appliance is at risk, the engineer may decide to disconnect it from the gas supply. This is a safety precaution and will still be labelled “DANGER DO NOT USE”.
    • At Risk (AR) – Not turned off: This classification is reserved for cases where turning off the gas supply to the appliance will not reduce or eliminate the risk. Repairs need to be carried out before further use.

Above all else, Gas Warning Notices are designed to ensure all relevant parties are aware of the fault found. Because of this, they need to be simultaneously detailed, clear, and easy to understand.

5 benefits of issuing digital Gas Warning Notices

Whether you’ve been issuing Gas Warning Notices for years or are starting out as a gas engineer, using a PDF template will make your work easier and more straightforward. Here’s why:

They save you hours of time doing paperwork – Especially for sole traders and small heating & plumbing companies, paperwork is a huge burden. Simple PDF templates like these help speed up the process and keep things neat. For example, rather than having to file away your copy of the notice in the evening, you’ll be able to save it directly on your phone and finish everything on site.

There’s no need for thick carbon copy pads –Carbon copy pads won’t break the bank, but an expense is an expense. In today’s online world, there’s simply no reason to keep buying pads for all your records and certificates when an alternative is on the table. Not to mention – as a template you can use and reuse as many times as you like, you’ll never have to make last minute orders of your next Gas Warning Notice pad.

They’re much easier to keep track of and organise – Once you fill out our Gas Warning Notice template, you can send it to everyone who needs a copy. This might be your office staff, the appliance user, and landlord. You can then save it directly to your device rather than tossing it in the back of your van.

Works well with gas warning labels – Gas Warning Notices themselves are often placed to one side and forgotten about by customers. It’s much more convenient for them to have a digital copy they can always refer to. Meanwhile, you can still stick a label onto the appliance itself – just to make sure the warning is obvious and in plain sight.

They make your business look professional – No messy handwriting, water damage, rips, smudges, and crinkles. A digital copy is much cleaner to look at, and can always be printed if need be. You can also add your own logo to our template if you would like to customise it to your branding.

    Frequently Asked Questions

Is a Gas Warning Notice different from a warning label?

Yes. This PDF Gas Warning Notice template is a certificate which should be completed by the engineer, kept as a record, and sent to the customer. It contains more details about the fault found, details of who carried out the inspection, and more.

A warning label is a small sticker that is affixed to the at risk appliance. The purpose of this label is to warn anyone who might try and use the appliance.

How is software better than a template for Gas Warning Notices?

Compared to a simple template, software offers a much more streamlined approach. This is because apps like FieldRocket are able to keep everything in the same system, saving time as you switch from task to task.

It’s able to do this by connecting your entire business around your database of customer information. You’ll be able to auto-fill customer information, appliance details, and much more that makes staying organised an effortless task.

How does a digital Gas Warning Notice benefit the customer?

A digital record is generally a much more modern and organised solution – but not just for your company.

As far as the customer is concerned, digital certificates are easier to keep track of and look much more professional.

Is it easy to switch from paper to software?

Absolutely! Filling out a form online is much the same as doing it on paper, and you can always print them out if needed.
